Dear Woodland Families,

I hope that this email finds you safe and warm.  I have been thinking a lot about all of the students and staff at Woodland and I cannot wait to see everyone.  By now I imagine that you know that Woodland and many homes in the surrounding area are without power. We are hopeful that Woodland will regain power and we will be able to return there tomorrow. If power is not restored to Woodland School by 8:00pm tonight, Woodland School students will be transported to Mt. Horeb School for the day. If power is restored to Woodland School by 8:00pm tonight, Woodland School students will be transported to Woodland School for the day. In either scenario, both schools will operate on a delayed opening schedule for grades K-5. A final decision will be communicated by 9pm tonight.

Dr. Mingle, Mt. Horeb principal Scott Cook and I have been working to develop a plan if Woodland students are sent to Mt. Horeb School on Monday.  It is our goal to get students back to school while ensuring they are safe, supported and educated. I want to take this opportunity to thank Mr. Cook for all that he and his staff have done to make this happen for our students and staff.   We are truly fortunate to be a part of a community that supports one another.

Mr. Cook and I spent several hours working through a plan that ensures the safety and supervision of all students while working to create as much normalcy as possible.   To be honest, we both see this as a unique opportunity and are equally as excited for our two schools to connect and support one another. (and even have some fun) Both the staff at Woodland and Mt. Horeb are incredibly talented and we are certain that the day will be enriching for every student in the building.  Guidance counselors and support staff will be readily available for students.. We will also have a full staff that will ensure for a safe arrival and dismissal of students. Mrs. Stambaugh will have a space at Mt. Horeb to ensure that the medical needs of all students are met. She will be traveling to Woodland before school on Monday and will pick up all necessary medications and any related supplies.  I will be meeting with the Woodland staff prior to arrival of students to address the changes and arrival/dismissal procedures.

The following is some important information and reminders that will help to make the day as smooth as possible:

·         Woodland students will be on a delayed opening schedule.  The school day will start at 10:50am and end at 3:30pm. Woodland staff will arrive at their normal time so they can set up their “new” classrooms at Mt. Horeb.

·         Lunch: Food Days will be operating for both Mt. Horeb and Woodland students.  Mr. Cook and I were able to create a schedule that allows each school to use the lunchroom.  Thank you to Mrs. Kardos and Mrs. Wishnia for helping with the Food Day and organizing the change with Ciro’s Pizza!

·         Transportation: Every effort will be made to pick up Woodland students at their regular bus stops to be transported to Mt. Horeb School. Students are encouraged to use the district-provided transportation when possible. Please allow for additional time at the end of the day as Woodland students will need to be transported from Mt. Horeb. Anticipate delays of 10-15 minutes for students to arrive home on the bus.  If a bus stop is inaccessible parents will need to provide transportation

·         Pick-up/Drop Off:  Woodland School staff will handle parent drop-off and pick-up at Mt. Horeb School. Woodland buses will use the main entrance; parents will be directed to the C-wing entrance.  Staff members will help direct parents to the location for drop off. All students will be escorted to the All Purpose Room where they will be met by their regular homeroom teachers. Any parents picking children up will report to the All Purpose Room to sign children out. Extra staff will be on hand to assist. Once again, if your child's bus stop is accessible, you are strongly urged to have your child ride the bus to reduce traffic and congestion at Mt. Horeb School.

There will still be the YMCA after care program for Woodland students but it will be at Mt. Horeb school.

·        There will be no before or after school Woodland clubs while we are at Mt. Horeb.

·         We understand that students may have important materials in their classrooms at Woodland.  Students will not be penalized for any materials that they cannot access.

·         If you have any questions about  about Monday, March 12, 2018 I ask that they be directed to march12@warrentboe.org  The appropriate person will review and respond as quickly as possible.

I want to thank you in advance for your understanding and flexibility throughout the last week.  Woodland is truly a family. A family that supports one another and remains positive and flexible.  Above all we will do everything to ensure that the students are cared for and supported.   I look forward to seeing all of the students Monday morning as they enter the hallways of Mt. Horeb.  As I always say, “It is ALWAYS a GREAT day at WOODLAND”….just this time at Mt. Horeb School.

Kindly,    Jeff Heaney
